What happens with award interpretation when rates change?
The Fair Work Commission publishes annual wage review decisions that affect base rates, allowances, and expense-related allowances across all Modern Awards. When these changes are announced, JWHB's payroll team updates all applicable rate tables in the system before the effective date — typically the first full pay period on or after 1 July each year. How does the timesheet and approval process work in practice?
Workers submit digital timesheets through the JWHB portal or mobile app, entering their start time, finish time, break duration, and project or cost centre allocation for each shift. Timesheets are then routed to the designated approver — typically a site supervisor or project manager — who reviews and approves or queries the submission. Once all timesheets for the pay period are approved, the pay run is processed automatically. The entire flow from submission to payment is designed to minimise manual handling and eliminate the errors that come with paper-based or spreadsheet-driven timesheet systems.
How does JWHB handle tax file number declarations and withholding variations?
New employees complete their TFN declaration digitally during onboarding. The system validates the declaration against ATO requirements and applies the correct withholding rate based on the employee's claimed tax-free threshold, HELP/HECS debt status, and any other relevant factors. If an employee has a withholding variation letter from the ATO — for example, a reduced withholding rate due to high deductions — our team applies the variation to their pay record and monitors the expiry date. Employees who do not provide a TFN within the required timeframe are taxed at the top marginal rate as required by law, and our team follows up to obtain the declaration.
